Prep against a list
Work through the loadout item by item as you load. Each item shows as packed or outstanding, so you know what is missing before you drive off, not after.
Source and destination
Every loadout knows where the gear came from and where it is going — store room to Truck 4, yard to the Mill Road job. Items move for real when the loadout completes.
Reverse the loadout
When the job finishes, generate the return trip from the original list. The kit that went out is exactly the kit you are checking back in.
Repeat what you do often
Second-fix kit, service call kit, the standard trailer load. Build it once and repeat it instead of rebuilding from memory each time.
Transfer or check out
Choose what completing a loadout does: transfer the items to the destination, or check them out to a person so the accountability trail follows them.

The one question that catches most of it
At the end of a job, before the vans move, somebody asks: anything on the list still here? Not a full audit — one question, at the moment when the answer is obvious because everyone is stood in the room looking at what is left. That sweep catches more than any system does.
Where this stops
This is a records system, not a tracking system. It tells you where gear was logged, not where it physically is. And above roughly ten or fifteen people with subcontractors and real turnover, you want formal per-person accountability with a full audit trail — buy the software built for that.
